Operations Associate at the Tobin Project

The Tobin Project is a catalyst for new research and teaching focused on understanding and addressing some of the most pressing problems of our time. Motivated by the conviction that academia has a vital role to play in protecting and strengthening the health of our democracy, economy, and society, we mobilize an interdisciplinary network of 800+ leading scholars to conduct path-breaking research and, through the development of innovative teaching materials, influence pedagogy across a wide range of disciplines. Tobin’s research  sheds new light on threats to the health of American democracy, rising economic inequality, special interest influence of public policy, and national security. Our case-based teaching materials put deliberative education and active learning at the heart of subjects such as history and economics.

Since our founding in 2005, the Tobin Project’s inquiries have anticipated some of our nation’s greatest contemporary challenges, from the financial crisis to democratic erosion, and have consistently demonstrated the often-untapped potential of the academy in understanding and addressing these threats.

About the Position

The Tobin Project seeks a diligent and exceptionally organized self-starter to join our team as Operations Associate. This is an ideal opportunity for an ambitious, early career professional or recent college graduate to become acquainted with all aspects of the work of an entrepreneurial, mission-driven non-profit. An integral member of our small team, the Operations Associate plays a critical role at the Tobin Project: developing, maintaining, and strengthening the systems that support our work.

Reporting to the Director of Strategy and Operations (DSO), the Operations Associate will have primary responsibility for administering the Tobin Project’s day-to-day operations, including, but not limited to, finance and human resources systems, office management, and events execution. The position will be especially suitable for individuals considering future careers in non-profit management, business, and public policy.

Responsibilities

  • Finance, Human Resources, and Compliance
    • Support day-to-day finance operations, specifically the functions related to accounts payable and accounts receivable, ensuring impeccable record-keeping and follow-up.
    • Collaborate with the DSO and bookkeeper on monthly reconciliations and financial reporting.
    • Support the annual audit.
    • Assist Tobin’s recruitment efforts by posting job descriptions, tracking applications, and scheduling interviews; manage employee onboarding; support benefits administration; and serve as lead on HR recordkeeping.
    • Work closely with the DSO to ensure compliance with organizational policies, and federal and state regulation.
  • Organizational Administration and Office Management
    • Ensure the needs of the office are met in a timely manner: maintain office supplies, manage relationships with vendors, troubleshoot IT issues in collaboration with Tobin’s IT services provider.
    • Maintain office equipment, including computers, printers/copiers, and telephones.
    • Work closely with the Director of Strategy and Operations to roll out a post-COVID-19 pandemic “return to the office” plan.
    • Schedule, attend, and maintain minutes of the Board of Directors meetings.
    • Collaborate with the team on the development of (and to support) workflow processes.
    • Maintain and update the organization’s databases, mailing lists, and accounts.
  • Event Planning and Execution
    • Prepare all materials for events; coordinate logistics for participants, including booking venues, arranging catering, and providing technical support as needed; arrange travel and accommodations.
    • Coordinate with vendors and venues; track events expenses and budget as well as collect and organize expense reimbursements; manage events on the ground.

Qualifications

The Tobin Project seeks a self-starter who enjoys owning projects and who can work both independently and collaboratively. The Operations Associate will have a strong commitment to the Tobin Project’s mission and uphold the values of excellence, integrity, and collaboration. In addition, the Operations Associate will possess the following qualifications:

  • Outstanding organizational skills, exceptional attention to detail, and ability to multi-task and manage competing deadlines;
  • A flexible, creative, and entrepreneurial spirit – the successful candidate takes ownership of projects and drives activities to completion;
  • Experience with, or willingness to learn QuickBooks, Tobin’s accounting system;
  • Proficient computer skills; particular facility with Microsoft Office and G-Suite;
  • Excellent event planning skills;
  • Exceptional written and oral communications skills;
  • Strong interpersonal skills;
  • A Bachelor’s degree;
  • And an interest in social science research and in driving change in the social sciences.
